Guide Dogs Annual Charity Awards Dinner

Having worked on this event since its conception we were thrilled at the thought of attaching a theme to this year’s offering – and we could think of none better than a 1920’s theme.

The luxurious surroundings of the Hilton hotel on Park Lane would be the perfect backdrop for this themed awards, fundraiser and dinner event. Guests’ red carpet arrival complete with Guide Dog puppies would set the scene for this charity event that is close to the nation’s heart.

A mixed audience of volunteers, staff, celebrities, press and VIP guests have very high expectations for this event … and the LZ team didn’t disappoint!

  • The PA system for this event had to be strong enough to deliver speeches, awards, an opening solo singer and a 12-piece live swing band. All of which were delivered with our versatile martin audio system. A pair of large front projection screens were flown from the roof of the venue and sources included video playback, animated graphics and multiple live camera.

Our lighting specification not only up-lit the themed stage backdrop but also created effects and drama throughout the night with various lighting fixtures used to maximum impact. LED lighting tape was used between the set panels to provide a sense of depth and contrast with the LED up-lights.

  • A mix of star cloth and solid set panels helped us to create a backdrop inspired from the art deco style of the 1920’s. A central fan style array was constructed alongside a pair of smaller arrays and we used reflective gold and white materials to allow for an opulent and gloss finish.

The central branding was also created in a gold finish and laser cut to allow a 3D feel to the logo that was then applied directly to the set panel.

We installed a stage with ample room for the 12-piece live swing band and also a clear and easily accessible area for guests and their Guide Dogs.

  • Presentations for the awards were all created in keynote software and included a main awards presentation, sponsors loop and complimentary slides and animations for the entertainment elements of the event.

The LZ team also produced a live event review with elements of the entire night that our client could use on social media and to gain further sponsorship.

  • Our event management services on this event included on-site client meetings and fortnightly conference calls, full event planning, venue liaison and co-ordination, preparation of scripts, supplier management, the preparation of volunteer briefing packs, coach travel for guests, full health and safety planning, management on the day and post event de-brief meeting.

  • We laid out a 12m red carpet entrance complete with ropes and posts to enhance the guests’ arrival experience. We also supplied a printed media backdrop positioned at the end of the catwalk so our clients’ most famous celebrities could be ‘papped’!

In the main room we provided a number of table centerpieces containing tall lilies and feathers to fit comfortably with the theme. (It was no accident that the smell of the fresh lilies also provided us with a sensory experience for some of our guests.)

Finally we installed a large white LED ‘starlit’ dance floor for guests to ‘strut their stuff’ until the early hours.

  • Our charismatic and energetic MC coordinated the smooth running of the event – bringing the fun factor to the stage whilst ensuring that all elements of the event were delivered to schedule.

To close the evening our 12-piece swing band played until the early hours and ensured that the dance floor was full until the close.

WHAT THEY SAID

We have worked with LemonZest consecutively for 3 years and the service is always fantastic. Louise, Charlotte and the team always go the extra mile to make our event (The Guide Dogs Annual Awards) spectacular. In December 2015, they provided all the event management for our 20’s inspired ceremony which included stage, set, production and MC, even right down to the centre pieces on each of the tables. Every tiny detail is thought of and executed to our brief. They are an absolute pleasure to work with and we look forward to working with them again soon!
